Methods to Modify a PDF File: A Trio of Options

Handling PDFs, be it contracts or official paperwork, is routine in the life of many professionals. My earlier routine involved printing, filling, scanning, securing the document, and finally dispatching it.

Admittedly, I discovered a more straightforward approach. Instead of tediously using my old scanner, I found that I could directly modify PDFs, save the changes, secure them, and send them off, bypassing the cumbersome process entirely.

But what exactly does it take to modify a PDF?

There are numerous methods available, each requiring different actions. Fortunately, editing PDFs is accessible to almost anyone with basic computer skills.

It's essential to note that not all PDFs are designed for easy editing straight from a PDF reader. Most you'll encounter are set to resist modifications.

Using Office Applications

Most comprehensive office suites can open PDF files for editing, with the exception of Apple's Pages. Programs like Microsoft Word, Google Docs, and WP Office provide this capability.

When a suite opens a PDF for editing, it transitions into an application similar to a graphics editor. Think of the PDF as a static image, allowing you to overlay new information. For example, to update text, you might overlay a colored rectangle on top of the old text and input new text on top of it.

Though this may not be the most fluid process, it is effective. Here's how it works in LibreOffice Writer.

Step 1: Launch LibreOffice Writer

Locate LibreOffice Writer via your desktop search tool, or simply search for LibreOffice itself. On MacOS and Windows, you must access it through the main LibreOffice program, while on Linux, Writer can be started directly from the desktop menu.

Step 2: Access the Document

Go to File > Open and find the PDF you need in your file manager. Select the document and click Open.

Step 3: Modify the PDF

Once open, the PDF will appear as a flat image in LibreOffice Draw, allowing the addition of text, shapes, and lines as necessary to tweak the document.

Step 4: Export Your Edited PDF

After making the required changes, head to File > "Export as PDF". You'll be prompted to name your file before saving. Congratulations, your PDF is now ready and fully edited on your desktop.

The market is awash with PDF editing apps, ranging from free versions to premium options.

A standout application is Adobe Acrobat, a subscription service that starts at $12.99 per month.

For occasional users wary of subscription fees, affordable or free alternatives exist.

On MacOS, look in the Apple App Store for free offerings, though I recommend instead solutions like Foxit PDF Editor, which trial for free and offer a paid subscription thereafter.

Online PDF Editing Solutions

While online options abound, caution is urged due to privacy and security implications. Stick with trusted services like Adobe or Foxit.

Free editors might be tempting, but sharing sensitive information, like client contracts, could expose you to identity risks. So, rely on reputable companies you can trust.
